The Opportunity

Asian Americans Advancing Justice – Asian Law Caucus (ALC) seeks a dynamic, team-oriented Events Manager to join our Development team. This position supports the design of virtual, in-person, and hybrid events and the day-to-day implementation of events planning and execution under the direction of the Director of Alumni Relations and the Development Director. The Events Manager will also collaborate with the communications team and other departments to ensure the successful promotion, marketing, and attendance of our events. The ideal candidate has more than 5 years of experience in development and implementing events strategy and leading events. They are able to self-organize and are detail-oriented, while being able to work collaboratively, independently, and with cultural sensitivity. They are comfortable with multiple tasks and timelines and being in regular communication with team members and other staff to prioritize and adapt especially in light of COVID-19 guidelines for in-person gatherings and other safety concerns.

ALC is the nation’s first legal organization focusing on advancing and defending the civil rights of Asian Americans and Pacific Islanders (AAPIs). Since 1972, ALC has litigated high-profile civil rights cases, advocated for the passage of landmark policy changes, and provided an array of services, including community education, advocacy, and direct client representation to further the rights of low-income immigrants and communities of color. Current program areas include Workers’ Rights, Immigrant Rights, Housing Rights, Criminal Justice Reform, National Security & Civil Rights, and Voting Rights. A growing staff of over 50 provides strong collegial support and opportunities to learn about and collaborate with other program areas. ALC is based in San Francisco, a hub of the Asian American rights movement, progressive politics, and social justice activism. We are committed to serving the vast diversity of communities of Asian descent, including Arab, Middle Eastern, and Muslim communities. Our fights for justice and equity are informed by and in solidarity with fights for liberation by and for Black, Indigenous, and Latinx communities.

Responsibilities

  • Planning and executing virtual, in-person, and hybrid events that reach, serve, and engage alumni, donors, stakeholders, in collaboration with the Director of Alumni Relations and Development Director
  • Helping to identify and facilitate discussions and providing proposals on special events that reflect and promote the work and the priorities of the organization
  • Coordinating event workplans, timelines, and volunteer roles to ensure successful execution of virtual, in-person, and hybrid events
  • Procuring vendor services, evaluating proposals from vendors and maintaining relationships with vendors in coordination with the Director of Alumni Relations
  • Designing and implementing virtual engagement strategies including event microsites for virtual and hybrid events
  • Managing expenses and timely payments of bills related to event planning and execution
  • Producing mass email and mail communications and marketing strategies (print, digital, social media) for event outreach in consultation with the Communications Department
  • Investigating event facilities, A/V requirements, online platforms for virtual events, and ensuring compliance with health and safety regulations as needed
  • Coordinating and managing event logistics, vendors, volunteers, set up and clean up, registration, on the day of the event
  • Ensuring the successful execution of annual events such as the anniversary dinner, alumni reunion, planned giving luncheon, two virtual engagements and additional projects in collaboration with the Development Director and Director of Alumni Relations

Qualifications

  • Bachelor's degree required or equivalent experience
  • 3-5 years of events management experience including experience securing vendor bids, reviewing vendor contracts, planning event logistics, registration systems, and surveying and improving guest experience
  • Experience and interest in internal and external communications, partnership, and fundraising
  • Ability to listen, discern, and keep track what is important about a task and follow through on task specifics, in light of many tasks
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Very strong interpersonal skills and ability to build relationships with stakeholders, including staff, board, external partners, and donors
  • Strong written and verbal communication skills, particularly in business email correspondence
  • Approaches problem-solving proactively and demonstrates strong judgment and decision-making capability
  • Highly resourceful team player, with the ability to also work independently and problem-solve
  • Forward-looking thinker, who actively seeks opportunities and proposes solutions
  • Proven ability to handle confidential information with discretion
  • Commitment to social justice
  • Proficient in Zoom, MS Office, Google Suite, Asana, Salesforce, and other technology platforms
  • Graphic design and basic HTML knowledge preferred

Salary and Benefits

This is a regular, full-time, exempt position. The annual compensation depends on years of relevant experience, the range is $64,000 to $83,505. ALC offers an additional $1,000 annual compensation for proficiency in a language other than English and an additional $1,000 annual compensation for graduate degree(s).
