The Opportunity
Asian Americans Advancing Justice - Asian Law Caucus (Advancing Justice - ALC) seeks a Finance Assistant. This new position supports this Finance department and the organization’s goals during a time of significant organizational growth. This position calls for a highly organized individual with strong financial, written and verbal skills, who is a highly resourceful team player, with the ability to work effectively independently. This position reports to the Director of Finance.
The Organization
Advancing Justice – ALC is the nation’s first legal organization focusing on advancing and defending the civil rights of Asian Americans and Pacific Islanders (APIs). Since 1972, Advancing Justice – ALC has litigated high-profile civil rights cases, advocated for the passage of landmark policy changes, and provided an array of services, including community education, advocacy, and direct client representation to further the rights of low-income immigrants and communities of color. Current program areas include National Security and Civil Rights, Workers’ Rights, Immigrant Rights, Housing Rights, Criminal Justice Reform, and Voting Rights.
Advancing Justice-ALC is based in San Francisco, a hub of the Asian American rights movement, progressive politics, and social justice activism. Our location in Chinatown is the first mixed-use, affordable housing co-op in San Francisco, serving as a model for preserving affordable housing in the city and protecting tenants’ rights.
Responsibilities
- Calendaring and scheduling, expense reporting, meeting preparation, and other administrative support for the Finance Director.
- Acts as a primary contact responding to internal office and public and requests for information and redirecting inquiries and requests as appropriate.
- Draft and edits presentations, correspondence, information and reports. Coordinates “paperwork” flow (largely electronic), including establishing and maintaining filing systems, correspondence, financial mail, scanning and internal office communications.
- Answers questions about accounts receivable and accounts payable process including where to find appropriate coding and financial forms.
- Perform financial reconciliations for all events.
- Prepare weekly and monthly summary event reconciliation reports.
- Provide data entry support for the Director of Finance, including: reports, budgets, vendor bills, check requests, and credit card receipts.
- Assist in preparing for annual organizational documents filing, including but not limited to 5500, business registration renewal, business property statement, and Corporation Statement of Information.
- Assist with audit preparation and other tasks and support on annual preparation of 1099s and 990.
- Assist in developing contract templates and drafting contracts, maintain contract-related documents and correspondence (via Email and DocuSign); gathering contact service information form program staff through a “contract request form” and following up with questions as needed; organize and update electronic contracts and consultants files; monitor vendor contract terms and flag when they need to be extended or renewed.
- Serve as liaison to vendors and resolve any billing inquiries in a timely fashion.
- Reconcile credit card activity on a weekly basis. Work with cardholders to locate missing receipts and resolve discrepancies.
- Generate invoices for sponsorships and pledges
- Process bank deposits.
- Review daily bank activity, file and distribute payments received.
- Support Finance Director with HR-related functions such as creating employee profiles and time tracking on ADP, including timecard and accrual tracking
- Assist in incorporating business in different states, including obtaining business licenses, unemployment ID, workers compensation ID and fulfilling other requirements.
- Other finance back-up support as assigned
Qualifications
- 3+ years of experience working in finance and providing professional support on a team. Recent grads with relevant coursework will also be considered.
- Possess a high proficiency with computer technology, including Asana, QuickBooks, Microsoft Office, Google Drive, ADP, and other finance and productivity apps.
- Ability to organize and prioritize work to meet deadlines effectively and efficiently.
- Ability to function independently with minimal supervision.
- Team player mentality with a willingness to help other staff with various tasks.
- Prior accounting experience with nonprofits, highly desired.
Compensation and Benefits
Starting salary for this position at required three years’ experience is $72,120 - $91,334 per year; salary determination is based on years of relevant experience and principles of internal equity.
